ConferenceCall.com provides access to all conference calls and special services through toll-free lines. Once a new user has signed up they will be assigned a passcode and dial-in number to distribute to thier participants. For our international users we provide toll lines. International callers have two options when using the toll line: dial-out or dial-in.  Option 1,Dial-Out, allows an operator to connect the international parties to a call without incurring any long distance charges through their phone service provider.  Option 2, Dial-In, allows callers to simply dial a different toll phone number to connect to our system and you will be charged for their call like any other conference call.

Your Passcodes and Access Number:
- Participant Passcode: This 7-digit passcode is assigned by ConferenceCall.com when your account is activated. Give this number out to all those you wish to invite to a conference. Participants will automatically be placed on hold until a Chairperson Passcode is entered to activate the conference.
- Chairperson Passcode: This passcode consists of the same 7-digit Participant Passcode, followed by a 4-digit PIN. Entering this passcode will activate the conference so that everyone can speak. All callers who enter the conference on this passcode will also have access the Chairperson Controls listed below. You should be very cautious about giving out this passcode, as whoever has it will be able to use your conferencing account at any time.
Command Keys Available to All Participants :
- *0--Operator Assistance ( An operator will help you individually, off-line from the meeting.)
- *4--Gain Control ( If one party's line is weak or loud, they can rebalance their line level.)
- *6--Individual Line Muting ( Call participants may use this function to mute their own lines.)
Touch Tone Controls Available to Conference Chairperson:
- *5-- Security Lock ( Prevents anyone new from joining the conference, including ConferenceCall.com operators.  To deactivate this function, press *5 again.)
- *7-- Presentation Mode ( All callers who dialed in on the participants' code will be muted.  To deactivate this function, press *7 again.)
- #1-- Conference Roll Call/Roster ( Broadcasts a message stating the names of all people connected to the call.)
- #2-- Participant Count ( Broadcasts a message stating how many people are currently connected to the conference.)
- #3-- Start Dial-Out ( Opens an outside line for you to call someone outside the meeting.  Note: This option is NOT activated on your account until you request activation.)
- #4-- Disconnect Dialed-Out Line ( Rejoin the meeting WITHOUT the dialed-out line.)
- #5-- Connect Dialed-Out Line ( Rejoin the meeting WITH the dialed-out line.)
- ##-- End Conference ( Ends the meeting, hangs up all lines.)
- Conference calls are accessed by dialing a toll-free conference center number, and entering a 5-digit passcode which is specific to your meeting.
In a few cases, toll-free phone numbers which connect directly to a specific conference may be issued (i.e., voicemail boxes, large listen-only audiences)
- A reservation is required for each conference call.
Make your reservation in plenty of time to distribute the phone number and passcode to all invitees. To keep your meetings secure, we can only give information about how to access a particular call to the reserver or chairperson of that conference call. Reservations can be made between the hours of 7am-7pm CT, Monday-Friday, by calling (800) 624-6687, option 5.
- Passcodes are activated 5-15 minutes before scheduled start time.
If participants try to call in before the passcode is activated, they will hear a fast busy signal. If you need to begin your conference earlier that the originally scheduled start time, call Customer Service to reschedule.
Meet-Me Procedures:
This service is completely automated. Entry is quick & uncomplicated. No operator is present during the conference.
- Automated Call Entry
Lines open 5 minutes early. Callers dial the assigned toll-free number and at the voice prompt they enter their specified 5 digit passcode. If the passcode is valid, they will then be transferred into the automated interactive 'LIVE' call. Note: There is NO "Music-on-Hold" option with this service, so if you are the first caller, you will enter a silent conference. So if you don't hear anything after you connect, this is normal, and means the system is working correctly!
- Invalid Passcodes
If the code entered is invalid the caller will have a second chance to enter a valid passcode before being automatically disconnected. If this happens, contact the conference chairperson or reserver to confirm that you have the correct passcode. If further assistance is required, contact Customer Service immediately at (800) 624-6687, option 5.
- Assistance
If operator assistance is required during your call, dial (800) 624-6687, option 5, and ask Customer Service to have an operator intervene with assistance (in order to provide the low rates for these calls, an operator is not online to monitor--our Operator Assisted calls are available for customers who need high levels of assistance).
- Recording of Meet-Me conferences
This service is provided at extra charge. Recording will begin exactly at the scheduled start time of the conference. An operator is not present to adjust the start time of the tapes.
Operator Assisted Procedures:
These conferences are completely customizable, so be sure to discuss your options in detail with a Customer Service Representative. Below are a few options that you can request from our operators as part of this service:
- Operator Answers All Calls
The operator manually answers each incoming call asking for their name, company and any other specific information you require.
- Operator Dials out to Participants
If the operator is provided with the names and numbers of the participants required on your conference call, the operator(s) will dial each participant and announce them into the call.
- Customized Script Reading
Our operators can read any customized introduction or script during your conference call. Simply include detailed instructions when you make your reservation.
- Roll Call
The operator can perform a roll call and provide a professional announcement to start your call.
- Question & Answer
At your cue, the operator can facilitate a formal Q&A session. The operator will announce instructions for how to be placed in the "questions queue". Each questioner's line will be un-muted when it is their turn to speak.
- Touch-Tone Polling & Voting
Either the conference chairperson or the operator may ask multiple-choice questions of the audience, and they can respond by pressing the appropriate number on their telephone. The operator will record the results, and report them to the conference chairperson or reserver, in the manner you specify.
- Tape Editing
If you notice that you have made a mistake or would like to change something about a conference that you are recording, simply alert the operator, and they will note where the edits should take place. This service is available for an extra charge.
Listen-Only Procedures:
Lines open for all Listen-Only conferences at 3 minutes before scheduled start time. Hold music is played until scheduled start of the conference.
- Linking an Operator Assisted conference to an Listen-Only audience:
Lines open 15 minutes early to allow speakers time to prepare for the conference. Operator answers all lines individually. Operator will add the listen only callers and provide an introduction script (generic or customized) at the cue from the chairperson. Chairperson should remind the speakers to call from a quiet location, and to use their "mute" button. Operator will try to filter out background noise.
- Linking an Meet-Me conference to an Listen-Only audience:
Automated Interactive lines open 5 minutes early in order for you to prepare your presentation before the Listen-Only audience is added. Operator announces at 3 minutes before scheduled start time that the Listen-Only lines will be opened and will begin receiving music. The operator will give another warning at 30 seconds till conference start time. At the scheduled start time the operator will state, "Your Listen Only participants have been added to this interactive conference call, you may begin your meeting." The Listen Only callers will now hear everything said on the interactive call. (These calls are at a significantly reduced cost compared to Operator Assisted calls and are not flexible as to the start time, nor is extensive operator assistance available.)
- Playbacks of Pre-Recorded conferences:
Lines open at 3 minutes till scheduled start time. Hold music is played to the audience until the scheduled start time, when the playback of the conference is started. All lines are disconnected at the end of the playback.
